DocuPower 2000
An innovative document management system
for Technical Writers.
What's
New in DocuPower 2000?
"What is the most difficult part of writing
documentation?"
Almost unanimously, technical writers tell us:
The biggest problem in maintaining documentation is
the long-term maintenance of the
documentation -- keeping it up-to-date!

DocuPower 2000 gives you a simple,
yet powerful, Book Explorer (outline) interface for planning, organizing, and maintaining your
documentation -- simplifying the task of keeping documentation up-to-date.
Here are the steps when you use DocuPOWER:
- Create the and maintain your documentation with Docupower;
- From DocuPower, save the document as an RTF file;
- Open that RTF file in your favorite "Output Tool," (e.g.
FrameMaker,
MS Word, Adobe Acrobat);
- Produce your final output.
This gives you the best of both worlds: the power of a Database for
organizing/maintaining your documentation, and the power of your favorite word
processing tool for producing output.

Long-term maintenance of documentation involves several problems that your
favorite Word Processing tool does not help you to solve:
- Updating.
When you change a screen or a menu, you need to change the documentation.
(How many places did I use or refer to that screen shot???)
- Multiple versions.
If you maintain multiple versions of your software, you need to maintain multiple versions of your
documentation -- and at the same time, keep the "common elements" of
the documents synchronized.
- Cross-platform.
If you sell your software on multiple platforms (for example, Macintosh and Windows), you
may need to maintain Mac and Windows versions of the documentation.
- Product similarities.
Parts of your documentation can be the same for all products. You need a way to do 'global updates' of those
common instructions.
- Printed versus Online.
Graphics that look good in print are often unreadable on-screen, and graphics that are readable on-screen are often much too large when they print.
You need to be able to produce full-size graphics for the screen, and
scaled-down graphics for printing.

How DocuPower 2000
solves the problems
of long-term maintenance :
DocuPower 2000 is a product that was designed by a documentation writer for documentation writers. It combines the power of a Word Processor with the power of a Relational Database to offer the following powerful features:
- Global updating of graphics.
When you create an illustration or a screen shot, that graphic is referenced in the document but it is not actually stored directly in the document. Therefore, when you copy and paste a new version of the graphic into your database, that graphic is automatically updated everywhere it is used in the
document--if it is used once or used 25 times, all are instantly updated!
-
Global updating of text. Some of the text in your documentation -- such as the Telephone Numbers, web site URLs, and the tech support email address -- might be used in several different places in your documentation. DocuPower
2000 allows you to store these types of information in "Book Preferences" --when you update a book preference, it is automatically updated everywhere it is used in your
documentation: one place of 100 places, no matter: the update is instant!
-
Multi-Platform Graphics. DocuPower 2000
allows you to maintain two versions of your graphics -- for example, Macintosh and Windows. When you "generate" a document (print to printer, save as RTF, save as Text, save as HTML, etc), DocuPOWER allows you to designate which graphic(s) will print: Macintosh, Windows, or both.
- Re-sizable Graphics. DocuPower 2000 allows you to save graphics at their full size, and then reduce or enlarge the graphics on-the-fly. This means that you can generate on-screen documents with large graphics, and generate printed documents with smaller graphics.

Global Keyword Search. Behind the scenes, DocuPower automatically associates keywords and key phrases with your text and graphics. This makes it possible for you to search across all versions of your documentation, looking for certain key words or phrases.
